Scope: Event and Panel Production


 

The Ask

Raygun Agency was approached by Senza Fine to produce a private event during the week of Art Basel 2023. The event took place at a three-story bungalow within the W Hotels South Beach property. Despite the bold creative vision, we had less than 2 weeks to bring it to life. The event included:

  • A panel discussion featuring notable figures:

    • Moderated by Justin Moran, Co-Editor in Chief of Paper Magazine

    • Speakers: Carlita (DJ and founder of Senza Fine), LP Giobbi (Global Music Director of W Hotels), Lucas Von Oostrum (Co-Founder of Franchise Freedom), Marc Spiegler (Art Basel’s former Global Director), and Celeste Greenberg (Co-founder of Tulese Factory)

  • A house party with DJ sets by LP Giobbi, Carlita, DJ Tennis, and Diplo activating two different levels of the bungalow with two DJ booths, one for the booked talent and another one for open decks. 

  • Work together with Tulese Fine Art for a custom art exhibition.  

  • Coordinate with the W team for Food and beverage program for guests. 

Key Challenges:

  1. Short Timeline: Less than 2 weeks to plan and execute the event.

  2. Vendor Coordination: Securing vendors during Miami’s busiest time of the year.

  3. Maintaining Excellence: Ensuring high-quality execution and creative edge to match the world-class standards of the companies involved.

Strategy:

Raygun Agency worked closely with the Senza Fine creative team and W Hotels marketing team to ensure the event's success. Our strategy included:

  1. Detailed Coordination:

    • Extensive collaboration with the W Hotel team to ensure the event did not interfere with hotel guests’ experiences.

    • Detailed scheduling and logistics planning.

  2. Panel Preparation:

    • Conducted thorough research to develop insightful questions for the panel discussion.

  3. Vendor Management:

    • Secured and coordinated with vendors despite the busy Art Basel week.

  4. Creative Execution:

    • Designed and implemented an immersive and engaging experience that aligned with the high standards of the participating brands.

Results:

The Creative Crossroads event was a resounding success. Key outcomes included:

  1. Leadership KPIs:

    • Met all leadership Key Performance Indicators (KPIs).

  2. Attendance and Feedback:

    • Over 350 attendees.

    • Positive media coverage and features.

    • Great feedback from guests regarding the insightful panel discussion and the after-party.

  3. Exclusive Experience:

    • Delivered a world-class event in an intimate setting, creating a unique and exclusive experience for art lovers visiting Miami for Art Basel and local attendees. 

The event was highly appealing to locals and visitors with people making lines outside for several hours after the event hit capacity.
